Agreement for use of Place2Book ApS booking and payment system as well as related services.

This Agreement (Terms, Conditions and Privacy Policy) applies to the use of Place2Book ApS CVR no. 28888880, Nørrelundvej 5, 2730 Herlev free event booking and payment system (hereinafter P2B) and should be read in its entirety as you positively accept the Agreement in its entirety by accessing and or using Place2Book.

1. Terms and Conditions of use of the system

1.1 Applied Terminology.

  • "Booking" - This is the term for the functions in P2B and refers to all processes that are linked to a transaction through P2B
  • “Services” - refers to P2B's services and features that are made available online (via P2B's websites), offline (e.g. support) and via mobile applications.
  • “Content” - refers to material such as data, text, design elements, audio, video etc., made available by P2B.
  • “User Content” - refers to material that is contributed or posted by Users using the Services.
  • "Organizer" - (legal entity with a CVR number or a person who can be identified via its associated account in a bank) which refers to event organizers or initiators who use the Services to create and promote their events.
  • “Consumer” - refers to anyone who uses the Services for information, purchasing tickets, attending Events, etc.
  • "Users" - or "you" refers to Organizers, Consumers and third parties who use the Services.

1.2 Place2Book Events' Booking and Payment system

Place2Book is an online platform to create events, receive bookings as well as possibly payment for free. An Organizer can use Place2Book for free. The Organizer can see the number of participants for an event.

A consumer can book an Event for free and/or for a fee on the Place2Book online Event platform. The Consumer agrees with Place2Book to provide information that is necessary to be able to confirm the participant's identity for the purchase/creation and that this data must in some cases be seen by the organizer in order for the Consumer's identity to be confirmed before participation. From the registration, consumers can always see what information Place2Book needs and which can also be visible to an Organizer. The Consumer always receives an email with the same content as stated in a registration/booking. Consumer data is only used for the event he/she has signed up for and is only visible to an Organizer until 30 days after the event, after which it is deleted/anonymized. A Consumer can always revoke his commitment of submitted data, cf. Privacy and Cookie Policy. A recall before an event may have consequences for the participation, just like important information about an event such as cancellation, relocation and or crediting may not be received. Note that 30 days after the event, data is automatically deleted/anonymized - but not those that Place2Book must store, cf. other laws. The Consumer can always pick up their new and used tickets via the link they have received by email from Place2Book for up to 3 years after the Event. The limitation period for receipts is 3 years - no one other than the Consumers and Place2Book has access to this data and only via the email through which the tickets were purchased.

1.3 Use of the System

Which payments the Organizer wishes to receive on its website, as well as which of P2B's additional services the Organizer wishes, are chosen by the Organizer in connection with its registration and specifically for the events that the Organizer offers on P2B's website. The selected settings appear under Settings inside the Organizer's profile as well as events and from the order confirmation that P2B electronically sends to the Organizer. The order confirmation states which prices the Organizer must pay for the individual services at the time of ordering (see current price list here; https://www.place2book.com/en/help/event_maker_prices)

The agreement takes effect when the Organizer upon creation, marks to accept this agreement in its entirety and then creates an event electronically through P2B's organizer page.

The agreement is valid as long as the Organizer has one or more active events that P2B customers can buy/get tickets for. If the Organizer does not have any more events, the agreement lapses, cf. the Danish Contracts Act after 3 years. The Danish Financial Statements Act allows all data for money transactions to be stored for up to 5 years.

P2B may oblige the Organizer to receive and return a confirmation payment from P2B to the bank account designated by the Organizer, as proof and assurance that the bank account and the Organizer are one and the same, if P2B wishes to make use of this option. (Option)

P2B may oblige the Organizer to create its profile with an associated means of payment so that P2B can always pick up its outstanding, cf. the Organizer's choice of expenses for the use of P2B. (Option)

(P2B may choose not to activate the Organizer's user account until the Organizer has confirmed the above options. This should only be done once as long as the Organizer and bank account are not changed. Should the Organizer wish to use several bank accounts simultaneously, the new bank account must be confirmed again.)

In the event of the need for additional information regarding affiliation between an Organizer and a bank account, the Organizer must cover costs for this. If there is any doubt about affiliation, P2B may close the Organizer's profile with P2B until there is sufficient evidence of ownership.

External requirements from authorities, and associated costs for verifying a customer relationship as well as related money transactions and accounts, will always have to be covered by the Organizer.

If P2B finds misuse of their systems individually or collectively, P2B reserves the right to shut down the Organizer immediately and without notice. Any deposits will be refunded to the ticket buyer, and costs to cover misuse will be made against the Organizer together with any possible notification to the appropriate authority.

The Organizer has also become acquainted with the rules for the sale of services/products via e-commerce and must respect legislation for trade via the Internet in the country in which events take place.

1.4 Services

If the Organizer wishes to use P2B's services, the Organizer must check these in accordance with P2B's website. The prices of services can be found on P2B's website. The Organizer must be aware that services are due on account when a ticket buyer has activated an electronic purchase and before he/she has completed the payment.

The Organizer may choose to resell several of P2B's additional services to the Ticket Buyer at a price determined by the Organizer. Revenue from the sale of P2B additional services will be paid out after an event has been held, but no earlier than after 4 banking days (see rules under the individual services offered at www.place2book.com)

The fee will then appear on the ticket buyer receipt in accordance with the Organizer's choice of service. The fee will be electronically reserved (on account) before the final transaction.

The ticket buyer's full purchase, including additional services, will appear on the receipt sent to the Organizer.

P2B does not refund these payments for services in the event that the Organizer should cancel or go bankrupt.

1.5 Consumer protection

The Organizer is obliged to use P2B's prepared minimum guidelines for consumer purchases via P2B for an event set up by the Organizer. The Organizer is welcome to use its own conditions for a consumer purchase via the Organizer's website, but may not set the consumer inferior to the P2B minimum conditions, which can be found at www.place2book.com or see Appendix A.

2. The Service

2.1 Booking and Payments via the Organizer's website.

By accepting P2B's conditions, the Organizer obtains the opportunity to sell and offer registration online by linking to P2B's booking and payment system from the Organizer's website.

P2B provides a free booking system containing a payment solution for the Organizer. On P2B's website www.place2book.com, the Organizer can at any time see which means of payment P2B supports, which additional services P2B offers as well as the current prices for all services.

Payment to the Organizer, for the amounts paid by Place2Books customers, takes place after the event and in accordance with NETS' rules for misuse of payment cards (see 3rd party misuse/NETS in Appendix A). It is always the responsibility of the Organizer that a purchase via P2B is not made in bad faith.

When the Organizer's event/sale is completed, the income, if there is a profit after the Organizer's purchase of extra services, will automatically be transferred to the Organizer's bank account in accordance with the Organizer's entered bank information. If an event is in deficit (e.g. in case of free tickets, use of hall or by crediting), Place2Book can choose to offset the income of future events. However, the Organizer will always be liable for an amount owed. If nothing is specified, P2B will always use the P2B model specified as free of charge for the transfer. The invoice sent by P2B will describe the financial side of the choices made by the Organizer and payments will be accordingly.

2.2 Payment to Organizer

Every Sunday, the events of the week are calculated and paid out after 4 banking days. Exception is the weeks when there are no 4 consecutive banking days, approx. 3-4 x per year - Christmas/New Year, Easter, Ascension Day, Pentecost - the weeks can vary from year to year.

All payout dates are stated on the Organizer's event and are clearly seen together with the traded amount and number of tickets sold at any given time.

2.3 Event test

After acceptance via P2B's website, the Organizer can at any time perform a test of created events by following the procedure described on the website after activating the event.

2.4 Data and Statistics

After validated creation, the Organizer has access to the administration module. The organizer gains access to the administration module by logging in with his or her username and password on P2B's website www.place2book.com.

The Organizer gets access to an Organizer, Ticket Agent and scanner profile via the login. Under the Organizer profile, the Organizer can retrieve all data and statistics in connection with its sales. All data must be handled, cf. the Data Protection Act.

The Organizer is responsible for the security of its own login. Misuse of data and/or security for login as well as possible expenses associated with this misuse or damage it may cause P2B, the Organizer must fully cover per bill.

Data that the Organizer here gains insight into is subject to data responsibility cf. this agreement and all data about participants is deleted/anonymized 30 days after the event. The Organizer, who is responsible for the data, must also delete all emails and retrieved data within the same period = 30 days after the event.

3. Security

3.1 Encryption

Any transfer of data in the payment system is done in 2048 bit encrypted to SSL form.

All servers are located in the AWS cloud in EU-west-1- distributed on different Availability Zones.

The database server is encrypted and isolated from other "layers"; Client ⇐> App-Server ⇐> Database, i.e. there is no connection or ‘opening’ to the database from the Client directly.

All card data is not registered with P2B, but only with a PCI-approved intermediary.

P2B uses 2048 bit encrypted SSL certificate in the communication between the Organizer and P2B.

PCI Certification

AWS has been PCI DSS Certified since 2010. As of July 11, 2016, an external Qualified Security Assessor Company (QSAC), Coalfire Systems Inc. has validated that Amazon Web Services (AWS) successfully completed PCI Data Security Standards 3.2 Level 1 Service Provider assessment and were found to be compliant for all the services outlined below.

Service provider levels are defined as:

Level 1: Any service provider that stores, processes and/or transmits over 300,000 transactions annually

Level 2: Any service provider that stores, processes and/or transmits less than 300,000 transactions annually

The AWS environment is a virtualized, multi-tenant environment. AWS has effectively implemented security management processes, PCI DSS requirements and other compensating controls that effectively and securely segregate each customer into its own protected environment. This secure architecture has been validated by an independent QSA and was found to be in compliance with all requirements of PCI DSS version 3.2 published in April 2016.

PCI Security Standards Council has published PCI DSS Cloud Computing Guidelines 2.0 as a guidance for customers, service providers, and assessors of cloud computing services. It also describes service models and how compliance roles and responsibilities are shared between providers and customers.

Additionally Third-Party Security Assurance 2016 provides supplemental information organizations in selecting, using, and managing third-party service providers with whom cardholder data is shared.

AWS is listed on both the Visa Global Registry of Service Providers and the MasterCard Compliant Service Provider List. The Service Provider listings further demonstrate that AWS successfully validated PCI DSS compliance and has met all applicable Visa and MasterCard program requirements.

3.2 Backup

P2B is operated via AWS (Amazon Web Services). The infrastructure is based on Amazon's M4 server class, and is structured as one or more application servers that carry the system itself, and are connected to a database in a closed Virtual Private Network (Amazon VPC ), and synchronized to a 2nd database server, which is used exclusively as a backup server, and which every 24 hours writes a backup to an S3 folder, also at Amazon. The database host complies with the Visa/MasterCard PCI certification requirements. The PCI requirements can be viewed on Visa's website, www.visa.com.

In the event that the Organizer loses data due to P2B's circumstances, P2B will assist in re-establishing this data on the basis of the most recent functioning backup. The Organizer cannot raise claims against P2B due to loss of data regardless of the reason for this.

In the event that the Organizer loses data due to matters for which P2B is not responsible, including but not limited to the Organizer's own circumstances, P2B is helpful in re-establishing the Organizer's data from the most recent functioning backup to the extent possible. The assistance with re-establishment will be invoiced by P2B at the current hourly rates for this.

3.3 Uptime

P2B always seeks to have as much uptime as possible. However, a certain uptime, i.e. due to the nature of the Internet, is not guaranteed. P2B's uptime, measured over a month, is usually around 99.9%.

To continuously ensure a high uptime, P2B and P2B's partners regularly maintain and update the hardware and software used. Such maintenance, which may lead to shorter periods of downtime, is sought to be carried out as far as possible in the period from 03:00 to 06.00 AM. P2B seeks to notify the Organizer of maintenance per email or via message on the Organizer's profile, in good time before the maintenance is completed.

3.4 Username and Password

When creating a profile, the Organizer creates a username and password that is only known by the Organizer (P2B can at any time change the login to also include identification questions and a self-selected PIN code) *. Username and password must be used when access is required for administration of the Organizer's event(s), statistics, history, finances, participant lists and other relevant system information.

The Organizer must at all times keep his username and password (and any identification questions and PIN code) * secret. If the Organizer suspects that a third party has become aware of the Organizer's password, the Organizer must immediately inform P2B of this.

Lost passwords can be recovered at www.place2book.com during login and forgotten password.

*(If the security question and PIN code are introduced, these will only be stored in an encrypted form at P2B and can thus not be recreated by P2B if the Organizer loses this information. The information must be used if you lose both email/username and password and is only to offer more security for using one's organizer profile).

P2B may set requirements for the length and complexity of the Organizer's password and may at any time require the Organizer to change its password.

3.5 External Security Control

P2B's IT systems are certified, and security approved by NETS and VISA/Mastercard.

P2B is continuously scanning their servers and networks in order to increase security, including prevention of unauthorized intrusion.

3.6 Misuse etc.

P2B seeks to prevent any misuse of its services but cannot guarantee that misuse or intrusion into P2B's IT systems will not occur.

If the Organizer suspects that there is misuse of payment card data, personal data, P2B's services or that there has been or will be an attempted intrusion into P2B's IT systems, this must be notified to P2B immediately. Similarly, the Organizer must immediately notify P2B if the Organizer has been exposed to misuse of data or attempts at or actual intrusion into the IT systems that the Organizer uses.

If P2B deems that the Organizer is misusing the payment system, violates security regulations and guidelines issued by P2B or that there is misuse from a domain belonging to the Organizer, P2B is without notice entitled to prevent the Organizer's use of the booking and payment system or prevent access to the P2B system from the domain in question as well as seek full coverage for costs associated with the Organizer.

P2B disclaims any responsibility if the Organizer has not complied with safety regulations and guidelines issued by P2B. References to the relevant safety regulations and guidelines can be found on P2B's website.

P2B informs the ticket buyer who has registered/purchased tickets for an event with one of P2B's Organizers with relevant information from the Organizer. In the event of misuse and complaints about a situation where an Organizer sendes other than informative e-mails/SMS, P2B can choose to terminate the cooperation and close the Organizer's profile and account so that the misuse cannot continue.

4. Regulations/Legality

P2B complies with the applicable legal rules for its business and its services at all times. Furthermore, P2B complies with requirements from the Danish Data Protection Agency, the Danish Financial Supervisory Authority and PBS, VISA/Mastercard.

The Organizer is obliged to comply with current legislation, requirements from the Danish Data Protection Agency, conditions set by P2B and requirements for good practice for e-commerce.

P2B assumes no responsibility for the legality of the Organizer's use of the P2B system or the content of the data submitted by the Organizer in connection with the creation. It is the Organizer's sole responsibility to comply with the law when selling/registering via P2B.

Organizer releases P2B from any claim that third parties or public authorities may raise against P2B in connection with alleged violations of third party rights or Organizer's violation of applicable law or conditions set by P2B.

In the event of such inquiries, P2B is entitled to prevent the Organizer's use of P2B's systems.

Organizer declares and guarantees that all information provided by Organizer will be true, complete, and correct. The Organizer will update all information in case of changes and is familiar with P2B's Privacy Policy. (https://www.place2book.com/en/help/personal)

In the event of errors in the stated bank information, the Organizer is responsible for the costs this may entail. P2B cannot be held liable for losses or the like for such errors.

If the Organizer has not provided correct information about its event, address, CVR number, bank account, telephone number, email or the like, P2B can close the Organizer immediately. The cost of such an initiative will be invoiced to the Organizer. Likewise, all kinds of costs associated with verifying bank information that is not correct. Until correct information is available the Organizer will be without access to P2B.

P2B error payment will be returned with agreed value date. P2B cannot be held liable for any losses, nor third party losses, either directly or indirectly.

5. Prices and Payment

5.1 Price

The prices applicable for P2B's services at any given time can be found on P2B's website www.place2book.com.

Price changes will be notified in accordance with § 12.

Prices for services that depend on the market interest rate may be changed in accordance with ordinary market adjustment. This will, amongst other things, apply to all card fees and transaction costs in relation to banks.

P2B assumes no responsibility for any Organizer's fees for receiving money paid from an event held through P2B. This is solely a matter between the Organizer and its bank.

5.2 Invoice and Payment

After each event, the Organizer will receive a statement with specification as the final settlement.

The invoice is sent to the Organizer per email to the email address provided by the Organizer. Issued Invoices can also be found by the Organizer using the Organizer's administration's access to P2B. (Finances/Payments)

5.3 Payment terms

Cash on account. All amounts are for immediate settlement and will be deducted from the final statement which is sent together with the last invoice according to the chosen payment model.

P2B will always receive its payment. P2B can in no way be held responsible for non-payment or late payment to a subcontractor.

The payment terms for the additional services may vary and the conditions can at all times be found under the individual services as well as P2B's price list and be the applicable conditions for these services.

5.4 Canceled events, Crediting and Objections.

5.4.1 Cancellations

An Organizer can cancel an event and automatically refund money to the ticket buyers. Place2Book then credits the customers when it is possible, cf. the deadlines of the payment service provider; NETS = Dankort 359 days from purchase, Visa/Master card 179 days from purchase. Amounts that fall beyond the deadline are paid to the Organizer. It is the duty of the Organizer to pay out the amounts that Place2Book has not been able to pay out automatically. The Organizer is responsible for the cost of this.

5.4.2 Crediting

An Organizer can credit any purchase in Place2Book and automatically refund money to the ticket buyer. Place2Book then credits the customers when it is possible, cf. the deadlines of the payment service provider; NETS = Dankort 359 days from purchase, Visa/Master card 179 days from purchase. Amounts that fall beyond the deadline can only be deleted and will be paid to the Organizer together with the other amounts after the event. It is the duty of the Organizer to pay out the amounts that Place2Book has not been able to pay out automatically. The Organizer is responsible for the cost of this.

5.4.3 Objections

An Organizer is responsible for all costs associated with an objection from a ticket buyer. Objections are when a ticket buyer chooses to complain about an Organizer and the payment to him/her. Such a complaint automatically entails a fee from the bank that the complainant uses, as well as expenses for Place2Book with handling this type of complaints. An Organizer must therefore, in addition to having to reimburse the ticket costs, also cover other costs associated with rejecting and or crediting a complainant. Place2Book's prices for this are according to our price list.

6. Support and Communication

6.1 Contact to P2B

If the Organizer has questions about the operation of P2B's booking and payment system, the Organizer can find answers to the vast majority of questions on P2B's website www.place2book.com and or support.place2book.com. If the Organizer does not find an answer, P2B can be contacted per email at the address info (@) place2book.com or by phone on weekdays between 10.00 and 14.00 on phone number +45 70 23 25 50.

P2B is entitled to invoice the Organizer for support with P2B's hourly rate for support at any time.

Questions about P2B's bookkeeping should be sent by e-mail to info (@) place2book.com.

6.2 Contact to Organizer

The Organizer is at all times obliged to inform P2B if the Organizer's address or other contact information is changed.

The Organizer must ensure that P2B is always in possession of at least one email address, which the Organizer often checks for new mail. Organizer is obliged to open emails from P2B in any potential Organizer spam filter (* .place2book.com). The email address will by P2B amongst others be used for sending invoices, credit notes as well as information on operation, maintenance and the like.

The Organizer has, regarding the various topics that P2B addresses to the Organizer about, the opportunity to specify different contacts and email addresses by logging in to P2B's website.

Organizer accepts that P2B has posted a News box on the Organizer's dashboard regarding changes and news about P2B. The organizer is obliged to read this news and agrees with the content by reading or checking/closing the box which can then be found in the top bar under "News" on the Dashboard right after login.

6.3 Contact to Organizer

The Organizer's contact data and information regarding communication with P2B will be processed in accordance with this Agreement's section on Privacy Policy. The Organizer is also obliged to delete all data from P2B and their employees within 3 years after ended agreement. Be it email(s), forwarded material and registered phone calls - all data that contains personal data from P2B.

7. Rights

P2B has all rights, including copyrights, to the code and the other material made available to the Organizer in connection with this agreement.

The Organizer only obtains a time-limited, non-exclusive right of use for the provided user profile and other material and is not entitled to copy the profile or other material to a greater extent than necessary for the use authorized by this agreement.

The Organizer's right to use the available profile and other material is at all times conditional on timely payment of any outstanding to P2B.

Organizer's violation of these rights is considered a material breach of the agreement.

8. Liability

The parties are liable to each other in accordance with the general rules of Danish law.

P2B's liability to the Organizer may, regardless of the degree of negligence, including any liability for accidental damage, never exceed an amount corresponding to the consideration paid by the Organizer to P2B for the event related to the damage. P2B cannot be held responsible for the Organizer's indirect losses, including, but not limited to; loss of earnings, lost profit, loss of goodwill or other business losses, including losses incurred on third parties, loss of data and other consequential damages. The disclaimer also applies to product liability to the extent that mandatory statutory provisions do not preclude this.

Neither party can be held liable for damage that the other party may suffer as a direct or indirect consequence of the party being affected by force majeure. Force majeure includes war, mobilization, natural disasters, strike, lockout, fire , water damage, trade restrictions, IT virus or hacker attacks, breakdowns or failures of communication systems, power outages, force majeure of subcontractors and other unforeseen circumstances which the party concerned could not prevent by making reasonable efforts.

The Organizer can be made liable for damages if he does not carry out his events and P2B is able to run the event in a normal way. Compensation will depend on an average and/or the capacity specified for the event.

9. Termination of the Agreement

9.1 Duration and termination

The agreement has been entered into for the period that the Organizer's event runs and until the last payment has been made from P2B.

After the end of the period, the agreement is terminated and the Organizer can re-create an event and thus accept the conditions for using P2B again.

9.2 Termination

If one of the parties materially breaches its obligations under this agreement and the breach has not been remedied within 14 days after the non-breaching party has sent a written demand to this effect to the breaching party, the non-breaching party is entitled to terminate the agreement.

An Organizer's breach of P2B's conditions as well as non-payment of any P2B outstanding with the Organizer is considered a material breach and will result in immediate exclusion from P2B.

Delayed bank transfer from P2B to Organizer is not considered a breach - compensation can in severe cases be given (maximum at The Danish National Bank's interest rate for deposits). Is the delay due to a third party; TELLER, NETS, REDEEMER, BANKS, ETC., no compensation is given.

10. Confidentiality and personal data

All data is located in isolated physically secured data centers cf., EU regulations on data security, in accordance with Directive 95/46/EC.

The Organizer is obliged to treat all data that is made available to him confidentially and in accordance with the law on data security. All breaches of this must be reported immediately to P2B, the Danish Data Protection Agency and those affected as well as those affected by this breach of data security with the Organizer. All costs this may entail for P2B are fully covered by the Organizer.

10.1 Contact data and their Termination, cf. Privacy Policy

The Organizer's contact data and information about communication with P2B will be processed cf. this Agreement's section on Privacy Policy (Privacy and cookie policy https://www.place2book.com/da/help/personal). The Organizer is also obliged to no later than 3 years after agreement termination to delete all data from P2B and their employees. Be it email (s), submitted material and registered phone calls as well as ticket buyer data (non-agreement relevant must, however, be deleted within 30 days of the event or relevance) - all data containing personal data from P2B.

11. Transfer

Organizer is not entitled to transfer rights and obligations under this agreement to third parties without P2B's written consent.

P2B is entitled to transfer all or part of its rights and obligations under this Agreement to third parties.

12. Changes

P2B is at all times entitled to change specifications for the booking and payment system, just as P2B may at any time, without notice, change security rules and guidelines, if this in P2B's assessment is necessary or appropriate for security reasons.

Such changes will be notified on the Organizer's Dashboard at login, informing about the change or referring to further information via link. P2B will, as far as possible, seek to give a deadline before the change takes effect.

These conditions may otherwise be changed by P2B at any time as described in §12 para. 2.

All notified changes to the Organizer's Dashboard must be approved by the Organizer before he can continue to use P2B. Changes are considered accepted by the Organizer once he has approved and chosen to continue using P2B.

13. Disputes

Any dispute between P2B and the Organizer relating to or arising from these terms and conditions shall be settled in accordance with Danish law by the court belonging to P2B's home municipality.

Appendix A

The Organizer points out that it is the responsibility of the ticket buyer before purchase to:

  • Check that the Organizer is known to the buyer.
  • Check that the ticket(s) apply to the correct event, place, date, time, prices and fees.
  • KCheck the Organizer's terms of trade, personal data policy and that these can be accepted.
  • Check with your bank that the amount withdrawn is correct - even when you are in doubt about whether a purchase has been completed or get an error before the receipt page.
  • Check the terms and conditions of Place2Book ApS (Privacy Policy and Terms of Trade) to purchase tickets for one of P2B's Organizers and that these can be accepted.

The ticket buyer is aware of and accepts that the ticket fee and administration fee will not be refunded in the event of cancellation or crediting/refund. These fees are considered trading costs for purchasing tickets through Place2Book ApS.

Right of Withdrawal

Purchased ticket(s) will not be refunded.

Replacement of lost ticket(s)

Ticket(s) will not be refunded in case of loss, but if they have been lost, you can contact the Organizer and have them sent back. Fees may apply.

Copying and Reselling ticket(s)

Each purchased ticket has its own unique ID code, valid for a specific event according to the Organizer's text for this event. It is therefore strictly forbidden, as well as equated with attempted fraud, to copy a ticket in order to gain access for several people with the same ticket. All attempts to do so will be reported to the police and the Organizer points out that it is only the first-time ticket holder who obtains access.

Resale of a ticket is permitted in accordance with applicable law, and the Organizer points out that it is not permitted to resell at a price greater than the total stated price of the ticket.

Change of date and place of event

If the date and/or place of an event changes, the ticket buyer must be notified of the new date and/or place within 72 hours. After 72 hours without notice, the ticket buyer can cancel the purchase and the Organizer must be notified immediately and refund as "In case of cancellation of event".

When an event is moved, a ticket buyer generally has 14 days to claim his ticket credited and refunded. After 14 days, the ticket buyer accepts the new time and/or the new place.

In case of cancellation of an event

If an event is canceled, the Organizer will reimburse the ticket(s) price - fees may apply, and some fees are non-refundable.

The ticket is only refunded by the Organizer via P2B. However, the Organizer may have had the money paid out and the ticket buyer must then have his money from the Organizer who is responsible for an event.

The ticket buyer can only make a claim against a possible estate regarding an Organizer's suspension of payments or bankruptcy. Ticket buyers can never make Place2Book ApS responsible for an Organizer's event.

Complaints

Any form of complaint relating to the event itself and payment for it (purchase of ticket(s), additional services etc.) must be addressed directly to the Organizer.

Reservations for errors and omissions

Place2Book ApS and the Organizer make reservations for errors and omissions in prices and descriptions etc.

The relationship between ticket buyer and Place2Book ApS.

Place2Book ApS provides the completion of your payment for an Organizer's services (tickets, contingent, services, etc.). To do this on your behalf, Place2Book ApS charges a fee (as a ticket and administration fee - both of which an organizer may have chosen to pay on your behalf in which case it will not be seen) - see current price list - and offer you to pick up a receipt and ticket right after your payment. If you have provided an email, you will also receive a receipt and ticket(s) on this (your Organizer may have deselected the ticket function, in which case you will only receive a receipt - see the Organizer's conditions for this).

When you shop through Place2Book ApS, you allow all the information necessary for your purchase of an event by an Organizer to be used by Place2Book ApS and hereby give permission for Place2Book ApS to pass on this information necessary for your participation to the Organizer. Organizer's responsibility

It is the Organizer's sole responsibility that a "sale" (product, service, event) is carried out/takes place/is settled. In the case that the event does not take place (cancellation), the Organizer is liable to refund paid amounts to the ticket buyer (minus any fees). In the event that the Organizer goes into suspension of payments/bankruptcy, the ticket buyer is referred to seek cover from the estate for the suspension of payments/bankruptcy.

The Organizer provides support for his "sales" (product, service, event) to the ticket buyer and all inquiries about the Organizer's event (times, prices, seats, sales etc.) must be directed to the Organizer. Place2Book ApS has no influence on the Organizer's setup, prices, times, service level, credit, discounts, codes, services, choice of location, settlement, etc. and all inquiries about this must therefore be directed to the Organizer.

Place2Book ApS has the right to send e-mails and text messages on an ongoing basis.

Place2Book ApS has the right to send regular messages about an Organizer's event. Be it updates or other important information for the event or general messages of an orienteering nature.

The messages relate to events for which the ticket buyer has registered/purchased tickets for and cannot be described as "SPAM" from Place2Book ApS.

In the event of misuse and hence complaints about a matter where the message is not only informative, such complaints must be sent to [email protected] containing the message sent and the reason for the complaint.

Third party misuse / NETS

The business's risks when selling over the Internet or by mail and telephone order.

When selling through the Internet or mail and telephone orders, your business runs the risk of third-party misuse, whether it is a Dankort or international payment cards.

In other words, if the right cardholder in good faith declares that he/she has not made the transaction, the entire amount incl. objection fee (see more in general rules and price list - http://www.nets.eu/dk-da/Produkter/betaling-med-kort/dankort/priser/Pages/default.aspx - go to Price list for other trade) will be refunded from your Organizer account.

The coverage guarantee does not apply in the event of third-party misuse.

P2B uses commonly used measures to limit third-party misuse and updates regularly in accordance with guidelines from NETS and the other international card issuers.

How we process your personal information

1. Introduction

1.1 Place2Book ApS (hereinafter "Place2Book") is the data controller for the processing of the personal data that you provide when you create a profile as an organizer / seller of an event / services (subscription, sale of booth, sale of spacetime, collection/donation, etc), or you as a customer register, buy a ticket, participate in surveys or contact us by email or phone.

1.2 This privacy policy describes the purposes of our processing of your personal data, who receives your personal data and what rights you have. How the policy applies to you will depend on the way you use Place2Book. If you, for example:

  2. Create a profile as an organizer / seller in Place2Book and here approves our "Agreement for use of Place2Book".

If you buy a ticket / register with one of Place2Book's organizers / sellers, we use the information you provide to us to fulfill both our and the organizer's obligations to you when providing this service, and to keep you continuously updated with relevant info from Place2Book and your organizer / seller about your purchase.

2. Personal information

2.1 We process the information you have provided. This is typically ordinary personal information such as name, address, telephone number and e-mail address as well as other contact information. We also process your payment information.

2.2 We log IP addresses to manage the website, manage the purchasing process, protect ourselves from abuse and collect demographic information about the users. IP addresses do not contain any personally identifiable information.

3. Purpose and basis for processing

3.1 We use your information when you register with Place2Book, to;:

  • process your order,
  • receive payment,
  • provide customer service to you, eg if you have given consent, sending out newsletters or special offers.

3.2 Your personal information is used in anonymised form for the purpose of having statistics on events, organizers / sellers and participants who use our website. We also collect data regarding the use of the website to analyze and improve the user experience.

3.3 If you are an organizer / seller, we will publish the contact information you have provided to us, including name, address, e-mail address and possibly telephone number and CVR number, in connection with our publication of your event so that interested participants can contact you. If you are an organizer / seller, your contact information will also be available to the participants in the event. In order to get your event out to as many potential participants as possible, your event and your contact information may also be published on other third party websites / portals.

3.4 Our basis for processing your personal data is the consent you have given when registering with Place2book. We also process your personal information when necessary to fulfill the order you have placed.

You can withdraw your consent for processing your personal data at any time. Withdrawal of consent takes place only with effect for the future, and if there is no alternative basis for treatment, the withdrawal may mean that Place2Book will not be able to complete the order / order for participation in an event with you as a participant or organizer.

4. Recipients of personal information

4.1 If you are an organizer / seller, your contact information will be passed on to participants in the events / sales you have created. In addition, this information will / may be published on our website and on other websites of third parties, in order to spread the knowledge of events / sales posted on Place2Book.

4.2 If you are a participant / buyer, your information will be passed on to the organizer / seller for the event / sale or registration you have bought a ticket, services or been registered with. This information is only given to your organizer / seller in order to register your purchase / registration and will only be passed on in that regard.

4.3 In addition, the information will be passed on to our service providers (also referred to as data processors) such as cloud computing providers who provide the IT infrastructure on which our products and systems are built, and to public authorities or similar bodies when required by law.

5. Retention period and security

5.1 Your payment information is stored at Place2Book as documentation for the purchase and anonymised after 5 years in accordance with the applicable law on bookkeeping. Other personal information is anonymised no later than 30 days after the event or by joint purchase for several events 30 days after the last event. Your ticket will be available for 3 years after purchase from the mail you received with a link to the ticket. Thereafter it will be anonymised according to the law of Agreement.

5.3 We have taken the necessary action to security and protect your information. The level of security we use will depend on the type of information collected.

5.4 Your personal information is stored and transmitted encrypted and both transmission and storage take place in a closed network.

5.5 All information regarding payment is sent encrypted to card providers via www.reepay.dk. Reepay is certified according to the latest version of PCI Data Security Standard Level 1.

6. Your rights

6.1 You have the right at any time to gain insight into what personal information we process about you, where it originates from and what we use it for. You can also be informed of how long we store your personal information - § 5.1 - and who receives personal information about you, to the extent that we pass on personal information. You may receive a copy of the information we have stored about you. However, access may be restricted for the sake of other persons' privacy protection, to trade secrets and intellectual property rights.

6.2 You have the right at any time to request that your information be corrected, changed or updated if you believe that the personal information we process about you is inaccurate. You must contact us and inform us of the inaccuracies and how they can be corrected.

6.3 You have the right at any time to request anonymity of your information if you believe that your personal information is no longer necessary in relation to the purpose for which we collected it or that your personal information is processed in violation of the law or other legal obligations.
